1. Secretarial Duties :
*  Secretary to Project Finance Committee (PFC) under the direct supervision of the Manager of PSSD (prepare and attend weekly meetings, produce reports, maintain the PFC database/ filing) 
*  General secretarial duties, including processing a wide variety of correspondence in both English and French languages relating to the responsibility areas of the Managers & Officers, e.g. drafting/preparing letters, memos, reports, contracts, agreements, presentations etc.
*  File and archive correspondence and other documents
*  Prepare and organise internal and external meetings
*  Take minutes at departmental meetings
*  Receive visitors and handle telephone calls, faxes and e-mails

2. Project-related Administrative Support :
*  Assist in preparing of contracts, financial commitments, payment requests and contract closures
*  Assist with project monitoring and financial control by inserting and retrieving data into, and from the Centre's monitoring and control systems and provide updates to project officers and departmental manager on a regular basis
*  Assist with the organisation of internal and external workshops/seminars (request cost estimations and compile budgets, prepare invitation letters, make travel and other logistical arrangements, assist with programme preparation, per diem payments etc.)
*  Manage the translation of small documents (French/English) according to needs;
*  Update coordinates of consultants and of the complete database related to the program.
 

Education & Experience:
*	Certificate of higher education with a vocational (non-university) diploma
*	At least 10 years of similar experience, preferably gained in an international environment
*	Computer literate (Good working knowledge of Microsoft Office)
*	Excellent command of English and French, Portuguese would be an asset
*	Proficiency in writing in English and preparing succinct and accurate reports of meetings
